Brian Krail has seen plenty of pain points in booking hotel rooms for youth sports events, and not just because he’s worked at Wyndham Hotels & Resorts for almost two decades. With a 13-year-old son on the travel baseball circuit, he’s experienced what so many parents and coaches have — a tedious, sometimes complicated and not always satisfying process of getting a room or a block of rooms for an event.
As Wyndham’s group vice president, commercial operations and sales strategy, Krail has helped engineer a solution, which has officially rolled out: a series of enhancements to its direct booking platform, among them real-time visibility, customizable booking tools and centralized management. These new offerings are meant to address the fragmented work that happens after a booking is made, and will allow event organizers to manage bookings from reservation to check-in.
“It’s never the wrong time to remove friction from any processes we have and enhance the guest experience,” said Krail.
Though the enhancements are in the early stages, Krail said they have showed promising returns.
“Group travel should be simple,” said Angie Gadwood, senior vice president, sales, Wyndham Hotels & Resorts. “By extending our digital capabilities beyond the initial transaction, Wyndham is creating a more connected, end-to-end experience for event organizers — helping drive conversion, improve visibility and ease the operational burden on hotel teams. Whether it’s a wedding, a family reunion, a youth sport event, a team off-site or even project-based infrastructure work, we’re making it easier than ever to do group business with Wyndham and our franchisees.”
Among the offerings:
- Real-time bookings dashboard: This allows event organizers to see who has booked and make updates instantly
- Customizable booking page: Each group gets a Wyndham-branded page with no logins or promo codes
- Instant group rates and rewards points: Guests can see and book at the group rate and earn points on qualifying stays
- Direct integration with hotel systems: This reduces the need for calling the front desk or coordinating with other individuals
- Flexible arrival and late-night departure: Guests can extend their stay on either side, giving event organizers fewer exceptions to manage
Groups360 and its GroupSync Housing platform powered the change, which helps event organizers manage bookings and improves efficiency for hotels.
“Everything we’re building is designed around one simple goal: making it easier for people to do business with Wyndham,” said Krail. “For planners, that means faster booking, better visibility, and less manual work. For franchisees, it’s the opportunity for smarter demand capture, stronger conversion, and technology that helps them operate more efficiently. These investments are another important step in creating a modern commercial ecosystem where everyone benefits.”
Wyndham has partnerships with third-party platforms such as EventPipe, EventConnect and Staybook that are frequently used by youth sports tournaments and scholastic organizations. Those platforms allow tournament directors, event organizers and event organizers to coordinate logistics for teams and attendees.
The newest enhancements to Wyndham’s group booking platform come at no additional cost to event organizers or franchisees. For a limited time, orgainzers can save 15% off standard rates on instant group bookings of 10 or more rooms on stay booked by March 17 and completed by December 30, 2026.
